Cancellation and Refund Policy for Online Coaching Sessions
Effective Date: 3rd February 2025
At DMG, we understand that schedules can change. Our cancellation and refund policy ensures fairness for both clients and coaches. Please review the following terms carefully before booking a session.
1. Cancellation Policy
• Client Cancellations:
• Cancellations made at least 24 hours before the scheduled session will receive a full refund or the option to reschedule at no additional cost.
• Cancellations made less than 24 hours before the session will not be eligible for a refund, but clients may reschedule once without additional charges.
• cancellations within 2 hours of the session start time are both non-refundable and cannot be rescheduled.
• Coach Cancellations:
• If we need to cancel or reschedule a session, clients will be notified as soon as possible and given the option to reschedule or receive a full refund.
2. Refund Policy
• Full Refunds:
• Eligible for cancellations made at least 24 hours in advance.
• If the session is cancelled by the coach for any reason.
• Partial Refunds:
• If a session is cut short due to technical issues on the coach’s end, we will offer a partial refund or a rescheduled session.
• No Refunds:
• If a client cancels less than 24 hours before the session.
• If a client does not show up for the session.
• If the session is missed due to technical issues on the client’s end.
3. Rescheduling Policy
• Clients may reschedule once for free if they provide at least 24 hours’ notice.
• Additional reschedules may be subject to a rescheduling fee.
• If a client reschedules multiple times, we reserve the right to deny future bookings.
4. Technical Issues & Late Arrivals
• If the client is more than 15 minutes late, the session will be considered a no-show and will not be refunded.
• If technical issues prevent the session from taking place, the coach will work with the client to reschedule.

• Storage Duration:
• Recorded sessions will be securely stored for Six months before automatic deletion unless otherwise requested.

• Security Measures:
• All recordings are stored in secure, encrypted cloud storage.
• Access is restricted to authorized personnel only.
3. Session Summaries & Data Handling
• Use of AI or Manual Summaries:
• If session summaries are generated using AI tools, only all personal data will be used.
• Summaries are provided solely for the client’s personal use and coach reference.
• Confidentiality:
• Summaries will not include sensitive personal details unless required for the coaching process.
• We do not share summaries with third parties without client consent.
4. Client Rights & Requests
• Clients have the right to:
